AI automation and chatbots for Halifax small businesses
AI is useful when it takes a boring, repeated task off your team’s plate, and risky when it talks to customers unsupervised. We build practical AI automations for small businesses: drafting, sorting, summarizing and answering, with a human in the loop wherever it matters.
Where AI actually helps a small business
Skip the hype. The best first projects share three traits: the task repeats often, the input is text or images, and a person can check the result in seconds.
Good fits
- Drafting replies to common enquiries
- Sorting and tagging incoming leads
- Summarizing long emails, calls or documents
- Writing first drafts of product descriptions and posts
- Generating image variations for social media
- Pulling data out of PDFs, invoices and forms
Poor fits
- Final decisions about customers’ money, health or legal rights
- Anything nobody will review
- Tasks that happen twice a year
- Processes that aren’t written down yet
Automations we build
| Automation | How it works | Human step |
|---|---|---|
| Lead triage | Website form enquiries are read, tagged by service and urgency, and routed to the right person with a suggested reply | Staff send or edit the reply |
| Content drafts | Blog, product and social drafts written in your tone from your notes and photos | You approve before anything is published |
| Image generation | Cover images and social graphics produced to a brand brief and attached automatically | Review in a queue |
| Document extraction | Supplier invoices, quotes or forms turned into rows in a spreadsheet or your system | Spot checks on flagged items |
| Website assistant | A chatbot answering from your own approved content: hours, services, prices, policies | Hands over to a person for anything else |
| Internal search | Ask questions across your own manuals, price lists and past jobs | Answers show their source |
Most of these connect to tools you already use, like Gmail, Google Sheets, WordPress, Shopify or your CRM. Bigger systems fall under custom web app development.
What we run ourselves
We use AI in our own operations every day, so we know where it breaks. Our publishing panel uses an AI model to read an article and write a brief for its cover image. A second model draws the image, and the system attaches it to the post. Our social media module drafts posts with AI, but publishing is locked behind human approval. Any edit after approval cancels it, and the AI has no way to approve its own work.
We also learned the hard way that automations fail quietly. When an AI provider’s credit ran out, one of our pipelines stopped without an error anyone noticed. Now every automation we build has a heartbeat, a visible status and an alert when it stops.
Chatbots: your business is responsible for what they say
In Moffatt v. Air Canada, 2024 BCCRT 149, the airline’s website chatbot told a customer he could apply for a bereavement fare after travelling. That was wrong. Air Canada argued the chatbot was responsible for its own actions. The BC Civil Resolution Tribunal rejected that argument and ordered the airline to pay the difference (decision).
The lesson for any business: a chatbot speaks for you. So ours are built to:
- Answer only from content you’ve approved, and say “I don’t know” otherwise
- Link to the official policy page behind each answer
- Hand over to a person for bookings, refunds, complaints and anything unusual
- Keep logs so you can review what was said
Privacy and AI in Canada
Canada’s privacy commissioners published joint principles for generative AI in December 2023. Two stand out for small businesses. “Accountability for decisions rests with the organization, and not with any kind of automated system.” And prompts shouldn’t be kept, reused or disclosed unless required. In practice we:
- Send AI tools only the data the task needs, removing names and contact details where we can
- Use business API accounts and settings that don’t train models on your data, where the provider offers it
- Tell your customers when they’re talking to an AI
- Write down what each automation does, which data it touches, and who checks it
This is good practice, not legal advice. For regulated work such as health, finance or legal, involve your adviser.

Quoted per project + HST
AI providers bill usage separately, usually a few cents per task. We set this up in your account so you see the cost directly.
Questions about AI automation
Will AI replace my staff?
That isn’t the goal. Small teams use it to take repetitive tasks off people who’d rather serve customers.
Which AI do you use?
We work with the major providers’ APIs, including OpenAI and Anthropic, and pick the model per task on quality, cost and data terms.
What if the AI gets something wrong?
It will, sometimes. That’s why we design a human check into every step that faces customers or money, and log what the system did.
Can AI help my business get found in ChatGPT and AI Overviews?
That’s a different service: making your website clear and citable. See getting recommended by ChatGPT and AI Overviews.
Got a task your team repeats every day?
Describe it in a few lines. We’ll tell you whether AI can safely take it on, and what a first version would cost.
